Service terms

Data protection

Personal information is handled under Linguative’s GDPR-based privacy notice. Where we process personal information on a client’s instructions, the parties must agree the relevant processing responsibilities and any required subprocessor authorization before processing begins.

Scope and booking

The accepted written quotation or service agreement defines the services, deliverables, dates, fees, taxes and responsibilities. An enquiry alone does not reserve personnel or equipment. Availability and booking are confirmed in writing.

Client materials

Please supply the agreed materials, permissions, reference terminology, deadlines and any receiving-body requirements. Changes to the brief are assessed for their effect on scope, price and delivery before proceeding.

Language services

Translation, revision, proofreading, interpretation, transcription and subtitling are distinct deliverables. The quotation identifies the included work, review stages and formats. Certification, notarization or formal submission requirements must be confirmed separately; general descriptions do not promise acceptance by every authority.

Events and equipment

The agreed scope identifies venue access, setup and testing, operating hours, equipment and technical staffing, recording or streaming outputs, and any supplier coordination. Venue hire, hospitality, transport and third-party charges are included only when expressly stated. Responsibility for venue infrastructure, connectivity and permissions is defined in the agreement.

Payment, changes and cancellation

Payment stages, due dates, taxes, cancellation or rescheduling charges, third-party costs and revision windows are specified in each accepted quotation or agreement. The website does not establish universal charges or payment deadlines.

Requests for corrections are assessed against the accepted brief. New source content, additional deliverables or changes of format may require a revised scope, fee or schedule, agreed before the additional work begins.

Confidentiality and client rights

Client material is used for the agreed assignment and subject to the applicable confidentiality and data-processing arrangements. Where an assignment requires external translators, interpreters or other specialists, relevant client material may be shared for that assignment. Access must be limited to what the specialist needs, subject to confidentiality and data-protection obligations. Specialists must not reuse the material for their own purposes. Where Linguative acts as a processor, appointing a subprocessor requires the client controller’s prior written authorization and appropriate contractual obligations. Commissioning work does not grant permission to use documents, event images or recordings for marketing. Publication and recording permissions must be agreed separately.

Questions and project-specific conditions

Equipment care, loss or damage, liability and dispute provisions, where needed, are set out in the project agreement and remain subject to applicable law.
