1. Turn the venue choice into an operating brief
Request room plans, audience layouts, access times and the venue’s current equipment inventory. Identify plenary and breakout rooms, registration space, storage and the route used to bring equipment into the building. Confirm which services belong to the venue and which need an external supplier.
For either destination, record the event dates separately from installation and dismantling dates. Transport schedules, crew arrangements and delivery windows should be agreed for the specific site. Avoid assuming that a previous event’s setup or access conditions will apply.
2. Connect registration to the session programme
Estimate when participants will arrive and how registration, badges and guest guidance will work. Identify the team responsible for attendance information, last-minute changes and access to different sessions. Only collect participant information needed for the agreed process.
Coordinate registration opening, room entry and speaker readiness in one run-of-show. If participants need language receivers, plan their distribution and return so it does not create a second queue just as a session begins.
3. Coordinate interpretation, AV and venue equipment
Confirm language directions, interpreter arrangements, microphones, room sound, screens and presentation playback. For simultaneous interpretation, assess the interpreter position and the complete audio path. Ask who supplies and operates each element, including equipment the venue already owns.

4. Reserve a rehearsal and compare the full scope
Test the actual speaker-to-interpreter-to-participant path before opening the room. Include presentation playback, remote contributions and recording where relevant. Rehearse the handoffs that matter: a new panel, a remote question or a move to a breakout room.
