1. Send a useful speaker brief
Provide the session time with its time zone, the joining time, the named moderator and a technical contact. Distinguish the private preparation link from any audience viewing link. Explain when the speaker should enter and who will cue their appearance.
Ask for their presentation and any videos by an agreed deadline. Confirm how their name and organisation should appear on screen. Tell them whether the session is intended for recording or public distribution and arrange the necessary approvals through the organiser.
2. Test the real speaking setup
Ask the speaker to rehearse from the location and device they intend to use. Check microphone clarity, listening arrangements, camera framing and connection stability together. Resolve issues during the test rather than relying on a successful login alone.
Confirm who shares slides and advances them. Test videos with their audio, and agree a way to continue if screen sharing fails. Give the operator the approved presentation and tell the speaker how to request slide changes.
3. Rehearse multilingual questions
Where interpretation is needed, state the languages the speaker will use and must hear. Test the route for the original speech, interpreted audio and audience questions with the technical and interpreter teams.
Explain how the moderator will manage turn-taking. A remote speaker should know when to pause, where questions arrive and whom to contact privately. Check the experience from both the room and the remote end rather than only from the organiser’s control screen.
4. Agree cues and a fallback
Run the transition from the previous session to the remote speaker and then to questions. Agree a private cue for remaining time and the signal for ending the contribution. Keep the final running order available to the moderator and operator.
