1. Define the purpose of each output
Use a session recording when viewers need access to the discussion or presentation. State whether it should include slides, questions, interpretation or separate language versions. Define any opening and closing edits and how sessions should be divided.
For a highlights film, identify the audience, main message and intended use. Agree whether interviews, event atmosphere and selected speeches should form the story. An edited overview cannot represent every contribution, so define the selection criteria with the organiser.
2. Plan social clips before the event
List the channels and placements for the clips, their intended orientation and approximate duration. Identify the ideas or speakers you hope to feature. Plan framing and readable on-screen text for those uses rather than assuming every wide shot will crop well.
If several outputs come from the same event, ask the production team how to cover them together. Specify whether clips require subtitles, translated versions, titles or speaker names. Agree the number of finished clips instead of leaving the quantity open-ended.
3. Scope filming and approvals
Share the running order and identify moments that cannot be repeated. Clarify camera coverage, audio sources, interview time and access to the venue. For simultaneous sessions, confirm which rooms will be filmed and how coverage will be staffed.
Identify who obtains the necessary participant and venue permissions and approves material for release. Flag restricted discussions or people who must not appear. Provide approved logos, name spellings and guidance on any music or third-party media.
4. Define editing and delivery
Ask the quote to list each deliverable, format, language, review stage and deadline. Clarify whether raw footage, project files or alternative versions are included. Name one person to consolidate feedback so the editor receives one coherent revision request.
