1. Map languages and rooms
List every room, its audience and the sessions running at the same time. Specify the languages spoken on stage and those participants need to hear. Separate a single multilingual plenary from parallel workshops; equipment cannot be assumed to serve two simultaneous sessions.
Attach a room plan showing the stage, audience seating and proposed interpreter position. Ask the provider to review visibility, audio access and space requirements with the venue before confirming the setup.
2. Define the participant equipment
Estimate how many participants need receivers and headsets in each session, including speakers who must hear interpreted questions. Explain whether delegates stay in one room or move between sessions, and agree how distribution and collection will work.
Ask the quotation to state quantities, accessories and the arrangements for spare units, power or charging. Identify who manages the equipment desk and how missing or damaged units will be handled. Avoid leaving these responsibilities until registration opens.
3. Coordinate the audio connections
Interpretation equipment and the room sound system must be scoped together. Identify the person responsible for supplying speaker audio to the interpreters and connecting interpreted channels to participant equipment. Include audience microphones and any video playback in the sound check.
If remote participants or recordings are required, identify which language feeds each output needs. A request to record the conference does not automatically define whether the original speech, interpretation or separate language tracks are included.
4. Include setup, rehearsal and support
Share delivery access, installation windows, rehearsal time and the event finish time. For a venue outside Amman, request a clear breakdown of transport and any travel-related arrangements. Confirm dismantling access with the venue as well as arrival.
